Privacy Policy

Transparency on how FIQ AI Inc. handles user privacy and platform data.

a) Introduction

This privacy policy explains what information FIQ AI Inc. collects when you use the FIQ platform, how we use it, which service providers process it, and the choices you have. FIQ accounts are invitation-only and are provided through your organization's workspace.

b) Information We Collect

We collect and store the information needed to provide coaching: your name, email address, and role and workspace details; the text transcript of each practice session; session analytics such as emotion, voice and filler-word metrics; AI-generated feedback and scores; your coaching-chat history; a learner profile built from your sessions; and records of the pages you visit in the app. If you submit our contact form, we receive your name, email address, message and plan interest.

c) How We Use Information

We use this information to operate your account, run practice sessions, generate coaching feedback, show your progress to you and to the trainers and administrators responsible for you, send invitations and account emails, respond to inquiries, and maintain and secure the service.

d) Camera, Video and Audio

We ask for camera access so we can show your image on screen and analyze facial expressions. This analysis runs in your browser using MorphCast software. Your video is never sent to FIQ's servers; we store only the resulting emotion metrics. If you record a session, the recording stays in your browser for you to download. Session audio is sent through our servers to AssemblyAI to create a transcript and is not stored by FIQ. We delete each transcript from AssemblyAI as soon as we receive it, and a daily job removes any that remain there after 24 hours.

e) Service Providers

We share information with the following service providers only as needed to run FIQ: Google Cloud and Firebase (hosting, database, file storage, sign-in and password-reset emails); Vercel (application hosting; session audio passes through it on the way to transcription); AssemblyAI (audio transcription); Google Gemini through Vertex AI (coaching feedback generated from session metrics, scores, prior AI analysis, learner-profile coaching context — scores, trends and prior coaching observations — and coaching-chat messages; when comparing sessions, the user-set session name is also included; transcripts are not sent); MorphCast (facial-expression analysis software that runs in your browser); and Resend (invitation emails and contact-form messages).

f) Where Data Is Hosted

FIQ data is hosted in the United States.

g) Browser Storage and Cookies

FIQ uses your browser's storage to keep you signed in (through Firebase Authentication) and to remember some settings and practice-activity progress on your device. The FIQ app contains no advertising or third-party analytics trackers. Clearing your browser storage will sign you out.

h) Security

Data is encrypted in transit over HTTPS and encrypted at rest by our hosting providers. Accounts are invitation-only and use email and password sign-in, with optional authenticator-app two-factor authentication. Role-based permissions limit what each user can see: learners see only their own sessions, and trainers see only the learners assigned to them. FIQ runs as one shared production platform for all customers. Workspace Admin and User Admin roles can list every user on that shared platform; today those roles are held only by FIQ staff. Course Admins and trainers may be staff of your organization: Course Admins manage courses and can see learner names and emails for enrollment, and trainers can see the session data of learners assigned to them. When multi-tenant administration is released, customer tenant owners may receive administrative roles; those roles and their access scope will be documented then. Sensitive administrative actions are recorded in an audit log. No system is perfectly secure, and we cannot guarantee absolute security.

i) Data Retention

We keep your information until you delete it or your account is deleted. Learners can delete their own sessions and coaching chats at any time. Deleted data may remain in our encrypted database backups until those backups expire.

j) Your Choices and Deletion

An administrator can set a user to Inactive, which ends access immediately. Workspace Admins can also request permanent deletion of a user: access stops right away, and after a 7-day cancellation window the user's personal records and sign-in account are removed. Shared course content is kept. You can request access to or deletion of your information by emailing privacy@fiq.ai.

k) Health Information

FIQ is not intended for protected health information (PHI). Please do not enter patient or other health information into FIQ.

l) Children's Privacy

FIQ AI Inc.'s site is not intended for children under 18. Measures are in place to prevent inadvertent data collection from children. Contact us for deletion requests.

m) External Links

FIQ AI Inc.'s site may contain links to external sites. Our privacy policy does not cover these sites. Users are advised to review external privacy policies.

n) Changes to This Policy

We may update this policy from time to time. When we do, we will change the date shown at the top of this page.
